Starting salary: £36,547

Position Security Assessment: Confidential (Australian National)

It is a condition of this appointment that any candidates applying for this position must be able to obtain and maintain an Australian National Security Clearance to “Confidential Level”. Only Australian citizens and Dual Australian citizens are eligible for this level of clearance at the Australian High Commission, London.

DUTY STATEMENT

Under the direction of the First Secretary - Consular and Passports, the Passports Team Leader:

  1. Coordinates the daily operations of the Passports Section in order to meet required benchmarks and quality standards, including tasking, workflow management and resolving general issues as they arise;

  2. Serves as a point of escalation for other members of the Passports Section by providing advice and guidance on passport legislation, policies and procedures, and assuming responsibility for more complex passport applications;

  3. Assesses and authorises requests for replacement of damaged or incorrectly issued travel documents and the issue of limited validity passports in accordance with applicable guidelines;

  4. Facilitates effective management of the Passports Section staffing, including monitoring staffing levels, absence management, ensuring compliance with Australian High Commission policies and procedures, performance management and staff development;

  5. Undertakes analyses and implements process improvements on an ongoing basis to ensure the smooth running of the section, as well as contributing to broader strategic activities including the development of Australian Passports Office policy and procedures and participation in other ongoing projects;

  6. Completes such reporting as is necessary, including liaison with Canberra.

  7. Attends other duties as required to maintain the efficient running of the Passports Section, in addition to assisting management with additional tasks when necessary.


SELECTION CRITERIA

Essential:

A.  A demonstrated ability to manage human, financial and other resources effectively in order to meet the objectives or a work area or department, preferably in a fast-paced, production or customer service environment;

B.  Oral and written communication skills suitable to a role of this level (proficiency with the MS Office suite is expected), with a strong client-service focus and the ability to build viable working relationships;

C.  A proven ability to authoritatively interpret and apply applicable legislation, policies and procedures;

D.  A proven ability to meaningfully contribute to a work area or department’s strategic activities, including producing analyses of issues, making sound judgements, report writing and the establishment of policies and procedures; and

E.  Experience in identifying and implementing business process improvements which have achieved the desired outcomes and added demonstrable value.

Desirable:

Preference will be given to those candidates who possess:

  1. A comprehensive understanding of the Australian Passport Act and Regulations; and

  2. Recent experience of operating within an Australian Passports Office environment.
